Check-In Guests

Learn how to scan tickets or manually check in guests from your event dashboard.

Checking in guests lets you track who has arrived at your event and prevent duplicate entry. Beatmatch provides two ways to check in attendees: scanning tickets with your camera or manually checking them in by name.

This article explains how to access your event dashboard and use both check-in methods.


Before You Start

To check in guests, you must:

  • Be the event host or a co-host with the appropriate role (such as owner, collaborator or door manager)

  • Have access to the event dashboard

  • Be logged into Beatmatch on a device with a camera (for scanning tickets)


Open the Event Dashboard

To begin check-in:

  1. Open the Beatmatch app

  2. Navigate to the event you are managing

  3. Open the Event Dashboard or Manage Event view

From here, you can access ticket scanning and the attendee list.


Check In Guests by Scanning Tickets

The fastest way to check in guests is by scanning their ticket QR code.

To scan tickets:

  1. Open the event dashboard

  2. Select Scan Tickets or Check In

  3. Allow camera access if prompted

  4. Point your camera at the guest’s QR code

If the ticket is valid:

  • The guest will be marked as checked in

  • You’ll see a confirmation on screen

If the ticket has already been used or is invalid, the app will notify you so you can take appropriate action.


Manually Check In Guests by Name

If a guest can’t access their ticket or the QR code won’t scan, you can check them in manually.

To manually check in a guest:

  1. Open the event dashboard

  2. Go to the Orders tab

  3. Use the search bar to find the guest by name or email

  4. Select the correct order

  5. Mark the guest as checked in

This fallback option is useful when:

  • A phone battery is dead

  • A guest can’t find their ticket

  • Lighting or camera issues prevent scanning


Viewing Checked-In Guests

From the event dashboard, you can:

  • See which guests have already checked in

  • View total attendance

  • Monitor remaining guests who have not arrived

This helps you manage capacity and entry flow.


Tips for Smooth Check-In

  • Open the scanner before guests reach the door

  • Keep screen brightness high for better scanning

  • Use manual search only when scanning isn’t possible

  • Assign door managers ahead of time for faster entry

  • Make sure all staff use their own profiles instead of sharing one device
