Adding co-hosts lets you share event management responsibilities with other people or communities. Co-hosts can help promote the event, manage attendees, or handle check-in at the door, depending on the role you assign them.
This article explains how to add co-hosts, what roles mean, and how to choose the right permissions.
What Is a Co-Host?
A co-host is another profile (either a user or a community) that you invite to help manage your event. Co-hosts appear on the event and can be given specific permissions based on their role.
You can add:
User profiles (individual people)
Community profiles (groups, collectives, or brands)
This makes it easy to collaborate with promoters, partners, or staff without giving full control of the event.
How to Add a Co-Host
To add a co-host to your event:
Open the event you want to manage
Go to the event’s Settings or Host Management section
Select Add Co-Host
Search for a profile by name or username
You can search both users and communities
Select the profile you want to add
Choose a role for that profile
Save your changes
Once added, the co-host will be linked to the event and granted permissions based on their assigned role.
Co-Host Roles and Permissions
When adding a co-host, you must choose a role. The role determines what the co-host is allowed to do.
Collaborator
Best for promoters, partners, or trusted collaborators.
A collaborator can:
Help manage event details
Share and promote the event
View attendee information
Send updates to attendees
A collaborator cannot:
Transfer event ownership
Remove the primary host
Delete the event
Door Manager
Best for staff working the entrance or check-in desk.
A door manager can:
View the attendee list
Check in guests at the door
Scan or validate tickets
A door manager cannot:
Edit event details
Change ticket pricing
Send event-wide announcements
Choosing the Right Role
Use the role that matches what the person or community needs to do:
Assign Collaborator if they are helping run or promote the event
Assign Door Manager if they are only responsible for check-in
Avoid giving broader access than necessary
This keeps your event secure while still allowing your team to work together.
Can I Change or Remove a Co-Host?
Yes. You can update or remove co-hosts at any time from the event’s host or settings section.
If someone no longer needs access:
Remove them from the co-host list, or
Change their role to a more limited permission set
Changes take effect immediately.
Why Add Co-Hosts Instead of Sharing Accounts?
Adding co-hosts lets each person use their own profile and login. This is more secure than sharing one account and makes it clear who is responsible for each part of the event.
It also ensures that:
Activity is tied to the correct profile
Permissions are controlled by role
The event remains owned by the correct host
